QuickBooks Point of Sale Tip: How to Track Tournament Fees and Apply Store Credit

Question:  How do I track tournament fees and apply store credit for the winner in QuickBooks Point of sale (POS)?

 

Answer:
1.  In QuickBooks, go to Lists > Chart of Accounts, select Account, then New, and create an Other Liability account called Tournament Fees.

2.  In QuickBooks Point of Sale (POS), go to Inventory > New Item, and create an item called Tournament Entry Fee.  In Additional Info tab select the the Tournament Fees account you created in step 1 as the Income account.
 
3.  When you receive a tournament fee, create a Sales Receipt in QuickBooks Point of Sale (POS) using the Tournament Entry Fee item you created in step 2.

4.  During End of Day Financial Exchange the fees will transfer to the Tournament Fees account QuickBooks financial you created in step 1. 

5.  After the tournament is played and winner is decided, go to Company > Create General Journal Entries in QuickBooks financial.  Debit the balance in the Tournament Fees account you created in step 1.  Credit Accounts Receivable and enter the name of the tournament winner in the Customer column. This will create a credit for the winning customer in QuickBooks financials.

6.  During the End of Day Financial Exchange, the credit will transfer to QuickBooks Point of Sale (POS) and when you enter the customer name in the Sales Receipt it will show a Credit Balance in the lower left corner.

QuickBooks Point of Sale Tip: How to Troubleshoot Store (Mailbag) Exchanges

Question:  I have been using QuickBooks Point of Sale Multi-Store 8.0 for a while with no problems.  Last week the store exchange at both stores was getting an error message.  When we came in the next day it seemed to work as normal, but the day's receipts from remote store did not show up at headquarters on that day that we got the error.  (Store "2", An error detected while copying file to Intuit Service for 2. Error:)For the next week everything worked fine, but still no sales from the remote store on that one day.  (our credit card transactions did settle though)  Now a week later, it just happened again.  No sales came up from the remote store even though days before and after that day came across just fine. Is there any way to go in and change the status of those 2 days worth of sales to make them send to headquarters? Or make this stop happening all together?

 

Answer: 
I believe QuickBooks Point of Sale Multi-Store uses QuickBase for store exchanges, and since QuickBase was one of the Intuit web services that went down during last week's outage it's quite possible that your problem is related and will be resolved as they restore the services. 

However, you may want to try to the following instructions for troubleshooting QuickBooks Point of Sale store (mailbag) exchanges.  Note:  sometimes the .qbt file is hidden so you may need to change your Windows settings to find it:

Troubleshooting multi-store mailbag exchanges

Overview

Version 7 and newer

Steps to follow when troubleshooting multi-store mailbag exchange issues:

  • Check the Multi-Store Company Preferences section to ensure that stores are set up properly:
    • Choose Edit > Preferences > Company
    • Select each of the sub preferences under Multi-Store and inspect the information in the  right side to ensure it is correct. Change information as needed. 
    • Click Save 
  • Update all copies  of Point of Sale at all stores to the most current release.
  • At the Headquarters store: 
    • Minimize or close Point of Sale. 
    • Search for files using the file name of *.qbt
    • Right-click on any *.qbt, files found, choose Delete and confirm the  deletion. 
    • Close the Search Results screen and empty the Recycle Bin.  
  • Perform steps above for all Remote Stores.
  • At the Headquarters store: 
    • Maximize or Open Point of Sale. 
    • Choose Stores > Send Files
    • Send the mailbag (*.qbt file) to the Remote Store(s) and then click Close 
  • At the Remote Store(s):
    • Choose Stores > Receive Files.
    • Locate the Headquarters mailbag and Process In
    • Choose Stores > Send Files
    • Send the mailbag (*.qbt file) to the Headquarters store and then click Close 
  • Process in the Remote mailbag at the Headquarters store:
    •  Choose Stores > Receive Files
    • Locate the Remote mailbag and Process In 
  • Perform another Store Exchange between the Headquarters and Remote Store(s).

QuickBooks Point of Sale/POS 9.0: What's New

We're pleased to announce that Intuit has released the new QuickBooks Point of Sale/POS 9.0 and the new features are impressive:

Ringing Up Sales

  • Customers can now be assigned to receipts using the Simple Receipt view, and workflows that require customers such as redeeming rewards or using charge accounts are also supported.

  • Coupons can now be defined along with other discount types and automatically applied to items on a sales receipt by scanning or entering the number.

  • To encourage return visits, you can optionally print coupons along with receipts based upon criteria such as frequency, sales amount, and more.

  • You can optionally prompt to email receipts when they are completed. For those customers that do not have an e‐mail address recorded, it can be entered at the time the receipt is completed.

  • When selling to companies you can record the customer's Purchase Order number for later invoicing from QuickBooks.

  • When ringing up a sales, you can quickly add an item not already in your inventory through a simplified item dialog, then go back in to add more detailed information later as necessary.

Customers

  • The Customer Center offers quick insight into your customers - how many there are, how many are returning, and how much they're buying. Also includes the ability to create targeted customer lists for email, letters, mailing labels, or export to files.

  • You can create targeted customer lists to take advantage of sales information in your system, such as customers that have not made a purchase in the last 90 days, and send it automatically to Constant Contact or export it to a file for manual upload to another service.

  • When identifying a customer as a company, the company name appears in lists and reports instead of the company contact name.

  • You can now create reports based upon when a customer was added to QuickBooks Point of Sale/POS.

Other

  • The discount report now includes all types of discounts (customer % off, etc.) and a new graph now includes both net and discount amounts.

  • You can now modify tag sizing for Avery tags.
