How to Track Case/Bulk Quantities in QuickBooks Point of Sale

Hi Ruth. We use QuickBooks Point of Sale and quite a few items we stock come in case/bulk quantities and we sell the individual item. Sometimes these are sold by the case. If we were to inventory by the case then whenever one was opened you would have to manually reduce case inventory and then add to the piece count.

My question is: Do you see stores entering inventory by the piece or by the case or both?

You can use units of measure to keep track of it. Your base unit is the smallest unit you buy/sell – in your case probably each. Then you can define up to three other units per item (i.e., a 6-pack is 6 eaches, a 12-pakc is 12 eaches.

Once you turn on the preference in File > Utilities > Company > Unit of Measure, you’ll see a new Unit of Measure option when you add/edit an inventory item. Each unit has its pricing as well as UPC and/or ALU. You can also set pricing levels.

Units of measure is only available in the QuickBooks Point of Sale Pro version, so if you’re using Basic you’ll need to unlock it to Pro.

How to Setup Payments to Go Directly to the Bank Account Instead of Undeposited Funds in QuickBooks

Dear Ruth. I’d like your help setting up payments on receivables to go directly to cash account instead of undeposited funds.

Thanks for your help.

Uncheck the box next to “Use undeposited funds as a default deposit account payment” in Edit > Preferences > Payments > Company Preferences.

However, I don’t recommend doing this unless each one of your payments is a separate bank deposit. Undeposited funds is a handy little feature that allows you to group multiple payments into one deposit so the deposit in QuickBooks matches the deposit on your bank statement. It makes reconciling your bank account much easier.

How to Refund a Credit Card Deposit in QuickBooks Point of Sale

Ruth. This is my scenario….I ran a credit card for a deposit on a job as “payment on account”. If I need to refund that money back to the customer, how do I post that in the QuickBooks POS sale system.

Go to Point of Sale > Sales History, select the sales receipt, then I Want To…and then Reverse.
