How to Get Credit Card Deposits to Match up to Bank Statements in QuickBooks

Hi Ruth, When I input credit card income, I make a Sales Receipt, mark Method of Payment “Credit,” and type in the individual person’s payment on a single Sales Receipt. However, on my bank statements, the income, if on a single day, appears as ONE amount although there may have been more than one transaction on that day. What is the best way to input credit card income? Thank you!
The best way to handle it is to switch to Intuit’s credit card processing. But if that’s not an option, you need to deposit the sales receipts to undeposited funds and then manually select which transactions make up the deposits shown on your bank statement from the list of undeposited funds that pops up when you select Banking > Make Deposits.

If you use Intuit, QuickBooks will do that for you when you select Banking > Make Merchant Service Deposits.

If you don’t, you’ll probably need your merchant account statement for help. Hopefully your deposits are gross and not net of fees because net deposits will really make it difficult to match them up. The goal is to get your deposits in QuickBooks to match up to the deposits on your bank statement. So if you’ve got net deposits, you should add an additional line to the deposit with a negative amount booked to your merchant account fees account.

News Flash – QuickBooks Merchant Services Fully Restored

QuickBooks Merchant Services has been fully restored.  Here's more information from Intuit:

Our credit card processing services have been fully restored as of12 noon Pacific Time.  We apologize for the inconvenience you experienced during this service interruption.

This issue began early this morning when some of our credit card processing services experienced a problem accessing stored data. The problem resided in our hardware components. We have brought our services back up on alternate storage and we are working to diagnose root cause on the affected storage. At no time during this interruption was customer data lost or compromised.

News Flash – QuickBooks Merchant Services Outage

Here is the latest message we were given about the outage and how to process via voice authorization:

We’re aware that some of our credit card processing services are unavailable right now. We’ve identified the issue as a problem with accessing our storage and are actively working to rapidly restore service. We do not yet have a definitive time for restoration of service, but we do have a workaround for most customers that will allow them to process credit cards via voice authorization. To do this, call the appropriate voice authorization center:

o   Visa/MC/Disc ACQ/Amex one point:800-228-1122

o   American Express: 800-528-2121

o   Discover: 800-347-1111

o   Important: You need theauthorization code from the voice authorization and your customer’s card number and expiration date to complete the transaction. If you are still having trouble, please contact support at 800-558-9558.

QuickBooks Point of Sale Merchant Account

Hi!  Is it true that QuickBooks Point of Sale only works with QuickBooks POS Merchant Services and no others?
The only merchant services you can use within QuickBooks Point of Sale is QuickBooks POS Merchant Services.  If you want to use a different merchant account, you have to process the credit card information outside POS and manually re-enter the sale in POS.  You'll also have to do all your batching and depositing manually as well.  It works but it's a major pain, so most people end up switching at some point.
