How to Restrict Cashiers from Doing Returns and Voids in QuickBooks Point of Sale

Hi Ruth. I’m using QuickBooks Point of Sale Multi-Store. Is there to restrict cashiers from doing returns or voids? I only want managers to be able to do them.

Thanks!

Yes, you can set user permissions so only managers can do returns or voids in Employees > Security. Each store location needs to set its own permissions.

How to Setup and Print Gift Receipts in QuickBooks Point of Sale

Dear Ruth Perryman. I would like to know how to set up and print out the gift receipt on the QuickBooks POS. Would you please tell me how to do that? Thank you.

This is from the Help menu (Help > Help Contents select the Index tab and type in gift receipts):

You can print a gift receipt that does not include specific item, price or payment information. This feature is useful around Holidays or if you specialize in gift merchandise.

With a gift receipt, customers can safely include the receipt inside a gift package or give the receipt to the recipient. If the recipient needs to return or exchange the gift, they already have the receipt and there’s no need to inconvenience the gift giver.

The bar code printed at the bottom of the gift receipt indicates the original receipt number and you can quickly find the original sale receipt by scanning the gift receipt bar code (or typing the receipt number) in the Quick Find window on the home page Navigator or the Find Receipt window in sales history.

With the gift receipt preference turned on, you are prompted to print a gift receipt every time you save a receipt. Each workstation can enable gift receipt prompting individually.

To be prompted to print a gift receipt on every sale:

  • Return to the Home Page if not already there.
  • From the File menu, select Preferences > Workstation.
  • Select Documents & Printers from the preferences list on the left.

Verify the printer and print template to be used for gift receipts. Note: The gift receipt printer is automatically set to the same printer used for regular sales receipts, but a different print template can be used if desired.

  • Select the Print Options page from the preferences list on the left.
  • Select the Prompt for gift receipt with each sale checkbox.
  • Select Save.

To turn off prompting of gift receipts, return to the same page and clear the checkbox.

How to Track Case/Bulk Quantities in QuickBooks Point of Sale

Hi Ruth. We use QuickBooks Point of Sale and quite a few items we stock come in case/bulk quantities and we sell the individual item. Sometimes these are sold by the case. If we were to inventory by the case then whenever one was opened you would have to manually reduce case inventory and then add to the piece count.

My question is: Do you see stores entering inventory by the piece or by the case or both?

Thank You.

You can use units of measure to keep track of it. Your base unit is the smallest unit you buy/sell – in your case probably each. Then you can define up to three other units per item (i.e., a 6-pack is 6 eaches, a 12-pakc is 12 eaches.

Once you turn on the preference in File > Utilities > Company > Unit of Measure, you’ll see a new Unit of Measure option when you add/edit an inventory item. Each unit has its pricing as well as UPC and/or ALU. You can also set pricing levels.

Units of measure is only available in the QuickBooks Point of Sale Pro version, so if you’re using Basic you’ll need to unlock it to Pro.

For pricing, visit our QuickBooks store or request our price list.

How to Refund a Credit Card Deposit in QuickBooks Point of Sale

Ruth. This is my scenario….I ran a credit card for a deposit on a job as “payment on account”. If I need to refund that money back to the customer, how do I post that in the QuickBooks POS sale system.

Go to Point of Sale > Sales History, select the sales receipt, then I Want To…and then Reverse.
